Airship Event Terms & Conditions

We’re excited you’ll be joining us at our event! These Terms & Conditions (“Terms”) provide important details about registration, what to expect at the event, and other helpful information to ensure everyone has a great experience. 1. ACCEPTANCE OF TERMS AND EVENT REGISTRATION
1.1 Agreement to Terms. By registering for or attending any event hosted or organized by Airship (each, an “Event”), you acknowledge that you have read, understood, and agree to be bound by these Event Terms & Conditions (these “Terms”), Airship’s Privacy Statement located at https://www.airship.com/legal/privacy/, and any additional terms and conditions specific to the particular Event.
1.2 Registration Requirements. To register for an Event, you must: (a) be at least eighteen (18) years of age on the date of registration for the Event, (b) complete the Event registration process, (c) provide accurate and complete registration information, (d) pay any applicable registration fees, and (e) agree to these Terms during the online registration process.
1.3 Registration Finality. Once you complete the purchase of your registration, the purchase and rate are final and will not be adjusted later. It is your responsibility to confirm that the price displayed at checkout is the price that you expect and agree to pay before you complete your purchase.
1.4 Competitor Exclusion. Airship reserves the right, in its sole discretion, to reject, refuse, or revoke Event registration or attendance from any individual or entity, including but not limited to direct competitors of Airship or those attending for competitive intelligence purposes.
1.5 Group Registrations. If you are purchasing group tickets or registering attendees on behalf of others, you represent and warrant that: (a) you are authorized to register such attendees, (b) you have obtained all necessary permissions to share their personal information with Airship and Event Sponsors and Event Partners as described in these Terms, and (c) you are responsible for ensuring such attendees’ compliance with these Terms.
2. CODE OF CONDUCT AND BEHAVIOR EXPECTATIONS
2.1 Attendee Conduct Standards. All Event attendees must conduct themselves in a professional, respectful, and appropriate manner at all times. You agree to treat all other attendees, speakers, Event Sponsors, Event Partners, vendors, and Airship personnel with courtesy and respect.
2.2 Prohibited Conduct. You agree not to engage in any conduct that: (a) is unlawful, harmful, threatening, abusive, harassing, defamatory, vulgar, obscene, invasive of another’s privacy, hateful, or discriminatory; (b) violates any applicable local, state, national, or international law; (c) interferes with or disrupts the Event or other attendees’ enjoyment of the Event; or (d) involves the distribution of unsolicited promotional materials, advertising, or solicitation without Airship’s prior written consent.
2.3 Intellectual Property Compliance. You may not use any content, materials, or intellectual property that infringes another Party’s rights, including copyright, trademark, patent, trade secret, or other proprietary rights. You may not use the Airship name, logos, trademarks, or the names of Event Sponsors or Event Partners without Airship’s prior written permission.
2.4 Prohibited Items and Activities. The following items and activities are prohibited at all Events: (a) weapons, explosives, or any items that could pose a safety hazard; (b) unauthorized commercial activities, sampling, vending, or promotional activities including but not limited to: (i) “suitcasing” (attending an Event to market, promote, sell, or otherwise solicit business without purchasing an exhibitor booth or sponsoring the Event, including soliciting business in aisles, public spaces, or other attendees’ booths); and (ii) “outboarding” (hosting unauthorized events, meetings, demonstrations, presentations, hospitality suites, or other competing activities at or near the Event venue that are designed to benefit from Event attendance without Airship’s express written consent); and (c) any other items or activities that Airship determines, in its sole discretion, may pose a safety risk or lessen other attendees’ enjoyment of the Event.
2.5 Enforcement and Consequences. If Airship determines, in its sole discretion, that you are behaving in a manner that violates these Terms, the applicable code of conduct, or is disruptive to the Event or other attendees, Airship may: (a) issue warnings; (b) limit your access to certain Event areas or activities; (c) remove you from the Event; or (d) ban you from future Events for a definite or indefinite period. If you are removed from an Event or banned, you will not be entitled to any refund or compensation.
2.6 Reporting Violations. Attendees are encouraged to report any violations of these Terms or inappropriate conduct immediately to Event staff or by emailing team@airship.com.
3. EVENT ACCESS AND SECURITY
3.1 Security and Access Measures. Your safety and security are important to us. You understand and agree that:
(a) For in-person Event attendance: (i) you and your belongings may be subject to reasonable security searches upon entry to the Event; (ii) you may be required to provide government-issued photo identification; (iii) you may be required to pass through security scanners; and (iv) you are solely responsible for your personal belongings at all times, and Airship shall not be liable for any loss, theft, or damage to your belongings.
(b) For remote Event participation: (i) you are responsible for maintaining secure access to your login credentials and not sharing them with unauthorized persons; (ii) you may be required to verify your identity through the virtual event platform; and (iii) you agree to comply with all technical and security requirements of the virtual event platform. Airship maintains industry-standard technical and organizational security measures to secure remote Event sites in accordance with its internal security policies.
3.2 Entry and Access Requirements. To gain access to the Event, you must:
- For in-person attendance: (i) have a valid Event registration; (ii) you may be asked to present government-issued photo identification that matches your registration name; (iii) comply with all security measures; and (iv) wear any required Event credentials (such as badges or wristbands) at all times while on Event premises.
- For remote participation: (i) have a valid Event registration; (ii) use the login credentials provided to you; (iii) comply with all virtual platform requirements and technical specifications; and (iv) display any required virtual credentials or identifiers as directed by Event organizers.
3.3 Denial of Entry. If you refuse to participate in security measures or fail to comply with entry requirements, Airship may deny you entry to the Event without refund. Airship also reserves the right to deny entry to any individual at its sole discretion, including but not limited to competitors or those attending for competitive intelligence purposes.
3.4 Credential Requirements. All attendees must pick up their Event credentials in person and may not authorize others to pick up credentials on their behalf. Prior to credential pickup, online registrations may be transferred to another attendee in accordance with Airship’s registration transfer procedures. Once credentials are issued, they are non-transferable and may not be sold or used for commercial purposes. Lost or stolen credentials will be replaced at Airship’s sole discretion and may be subject to replacement fees.
4. EVENT PHOTOGRAPHY AND RECORDING
4.1 Airship’s Recording Rights. By attending the Event, you acknowledge and agree that the Event will be photographed, filmed, and otherwise recorded. Your attendance constitutes your consent to be photographed, filmed, and/or otherwise recorded and to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with Airship and its business, including, by way of example only, for use on websites, in social media, news, and promotional materials. If you do not agree to the foregoing, please do not register for or attend the Event.
4.1.1 Opt-Out Right. If you do not wish to be included in Event recordings, you may request to sit in designated non-recording areas when available, or you may choose not to attend sessions that will be recorded. Airship will make reasonable efforts to accommodate such requests but cannot guarantee that you will not appear incidentally in recordings.
4.2 Attendee Recording Rights. Unless otherwise notified, attendees may take photographs, videos, or audio recordings of Event sessions for personal use only, subject to the following restrictions: (a) recordings may not be used for commercial purposes; (b) recordings may not be distributed, published, or shared except for brief clips (not exceeding one minute) on social media platforms; (c) recordings may not be used in a misleading, disparaging, or unlawful manner; and (d) if Airship requests discontinuation of any recording use, you must immediately comply.
4.3 Intellectual Property in Recordings. Event content may be protected by copyrights, trademarks, or other intellectual property rights owned or licensed by Airship. You may not copy, reproduce, publish, or distribute recordings without Airship’s written permission, except as expressly permitted in Section 4.2.
4.4 Prohibited Recording Areas. Airship may designate certain areas or sessions as “no recording” zones, and attendees must comply with such restrictions when announced or posted.
5. DATA PRIVACY AND INFORMATION SHARING
5.1 Privacy Policy Incorporation. Your privacy is important to us. This Event is governed by Airship’s Privacy Statement, available at https://www.airship.com/legal/privacy/, which is incorporated into these Terms by reference. Data retention practices are governed by our Corporate Data Retention Policy.
5.2 Event Registration Data. We may share your Event registration information with our Event Partners to provide Event services and improve your Event experience. This may include sharing with mobile app providers, registration service providers, and other vendors working with us to deliver the Event.
5.3 Event Sponsor and Event Partner Data Sharing. During registration, you may choose whether to allow us to share your registration information (including your name, company, job title, work industry, and email address) with Event Sponsors and Event Partners. This option will be clearly presented with a separate checkbox that is unchecked by default. If you select this option, Event Sponsors and Event Partners may contact you directly using their own privacy and data retention policies. To opt out of Event Sponsor or Event Partner data sharing at any time, please email privacy@airship.com.
5.4 Badge Scanning and Data Collection. With your consent, we and Event Sponsors may scan your attendee badge to collect information such as your name, title, company name, address, country, phone number, email address, industry, and record of event attendance. You are never required to allow badge scanning, and you may decline such requests. When you consent to badge scanning by Event Sponsors, such data will be governed by the Event Sponsor’s privacy policies, which they should make available for your review. Our collection and use of badge scanning data is governed by our Privacy Statement and Corporate Data Retention Policy.
5.5 Mobile App Data Sharing. If we provide an Event mobile application, we may make your Personal Information available to the mobile app provider as our processor to enable app functionality and collect additional usage data through the app. We may share performance metrics such as page views, clicks, and impressions with Event Sponsors and Event Partners to measure app and content performance. Event vendors act as our processors and do not receive your data for their own purposes.
5.6 International Data Transfers. Your personal information may be transferred to, stored, and processed in countries where Airship operates, including the United States, France, Germany, the United Kingdom, Singapore, and India. These countries may have data protection laws that differ from your country. We implement appropriate safeguards for international transfers as described in our Privacy Statement.
5.7 Data Retention. Personal Information collected in connection with Events will be retained in accordance with Airship’s Privacy Statement and Corporate Data Retention Policy.
6. EVENT CANCELLATION AND FORCE MAJEURE
6.1 Cancellation by Attendees. You may cancel your Event registration in accordance with the specific cancellation policy posted on the Event registration page. Cancellation requests must be submitted in writing to team@airship.com. Refund eligibility and amounts will be determined based on the timing of your cancellation request and the specific Event’s refund policy.
6.2 Event Transfer. You may transfer your Event registration to another person within your organization prior to the Event, subject to the transferee’s agreement to these Terms. Registration transfers must be completed through the Event registration system or by contacting team@airship.com. You remain responsible for ensuring the transferee’s compliance with these Terms.
6.3 Cancellation by Airship. Airship may cancel, postpone, or modify any Event at any time for any reason, including but not limited to: (a) insufficient registration; (b) speaker or venue unavailability; (c) security, health, or safety concerns; (d) force majeure events; or (e) other circumstances beyond Airship’s reasonable control. If Airship cancels an Event and you are in compliance with these Terms, we will provide a refund of your Event registration fee in accordance with the refund policy posted on the Event registration page.
6.4 Force Majeure. Neither Party will be liable for any delay or failure to perform obligations under these Terms where such delay or failure results from causes beyond the Party’s reasonable control, including but not limited to: acts of God, natural disasters, epidemics, pandemics, labor disputes, electrical or power outages, telecommunications failures, earthquakes, storms, blockages, embargoes, riots, acts or orders of government, acts of terrorism, or war.
6.5 Event Modifications. Airship reserves the right to modify the Event program, schedule, speakers, venue, or format (including changing from in-person to virtual format) at any time without liability. No refunds or compensation will be provided for Event modifications unless the Event is completely cancelled by Airship pursuant to Section 6.3 of these Terms.
6.6 Virtual Event Conversion. If an in-person Event is converted to a virtual format due to circumstances beyond Airship’s control, attendees who prefer not to attend the virtual Event may request a refund of their registration fee, less any processing costs, within seven (7) days of receiving notice of the format change.
7. LIMITATION OF LIABILITY AND DISCLAIMER OF WARRANTIES
7.1 Assumption of Risk. You understand and acknowledge that attendance at any Event involves certain inherent risks, including but not limited to: (a) personal injury or property damage; (b) exposure to illnesses, including communicable diseases; and (c) travel-related risks. You voluntarily assume all such risks and agree to attend the Event at your own risk.
7.2 Health and Safety Disclaimer. Airship makes no representations or warranties regarding health and safety conditions at the Event venue or related to Event activities. You are responsible for evaluating your own health status and determining whether Event attendance is appropriate for you. If you have any health conditions that may be affected by Event attendance, you should consult with your healthcare provider before attending.
7.3 Health Requirements. Attendees are responsible for complying with any health and safety requirements communicated by Airship prior to or during the Event, including but not limited to vaccination, testing, or health screening requirements. Failure to comply with such requirements may result in denial of entry without refund.
7.4 Disclaimer of Warranties. THE EVENT AND ALL RELATED SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TO THE MAXIMUM EXTENT PERMITTED BY LAW, AIRSHIP DISCLAIMS ALL WARRANTIES, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND QUIET ENJOYMENT. AIRSHIP DOES NOT WARRANT THAT: (a) THE EVENT WILL MEET YOUR EXPECTATIONS OR REQUIREMENTS; (b) THE EVENT WILL BE UNINTERRUPTED, TIMELY, SECURE, OR ERROR-FREE; (c) ANY INFORMATION OBTAINED FROM THE EVENT WILL BE ACCURATE OR RELIABLE; or (d) ANY DEFECTS IN THE EVENT WILL BE CORRECTED.
7.5 Limitation of Liability. TO THE MAXIMUM EXTENT PERMITTED BY LAW, YOU AGREE THAT IN NO EVENT SHALL AIRSHIP’S TOTAL LIABILITY ARISING OUT OF OR RELATING TO THE EVENT OR THESE TERMS EXCEED THE AMOUNT YOU ACTUALLY PAID FOR EVENT REGISTRATION (OR ONE HUNDRED DOLLARS ($100) IF YOU ATTENDED A FREE EVENT). IN NO EVENT SHALL AIRSHIP BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOST PROFITS, LOST REVENUES, LOST BUSINESS OPPORTUNITIES, OR LOST DATA, REGARDLESS OF THE THEORY OF LIABILITY AND EVEN IF AIRSHIP HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
8. INTELLECTUAL PROPERTY PROTECTIONS
8.1 Airship Intellectual Property. The Event, including all content, materials, presentations, displays, logos, trademarks, service marks, trade names, and other intellectual property displayed or made available at the Event, are owned by or licensed to Airship and are protected by copyright, trademark, patent, and other intellectual property laws. You may not use, reproduce, distribute, modify, or create derivative works of any Airship intellectual property without express written permission.
8.2 Speaker, Event Sponsor, and Partner Content. All presentations, materials, collateral, presentation decks, and content provided by Event speakers, Event Sponsors, or Event Partners remain the intellectual property of their respective owners. Notwithstanding the foregoing, Airship retains exclusive ownership of all photographs, video footage, audio recordings, and other recordings of the Event produced by or on behalf of Airship, including recordings that feature or incorporate speaker, Event Sponsor, or Event Partner content. You may not record, reproduce, distribute, or otherwise use such content without the express permission of the content owner, except as permitted in Section 4.2 for personal use recordings.
8.3 Attendee-Generated Content. If you submit, post, or otherwise provide any content, materials, feedback, or suggestions related to the Event (collectively, “Attendee Content”), you grant Airship a non-exclusive, worldwide, royalty-free, perpetual, irrevocable license to use, reproduce, modify, distribute, display, and create derivative works from such Attendee Content for any purpose related to Airship’s business. You represent and warrant that you have all necessary rights to grant this license and that your Attendee Content does not infringe any third-party rights.
8.4 Trademark Usage. You may not use Airship’s name, logos, trademarks, or other proprietary marks in any manner without Airship’s prior written consent. Any permitted use must comply with Airship’s trademark usage guidelines, which may be provided separately.
8.5 Copyright Infringement. If you believe that any content at the Event infringes your copyright, please notify us immediately at airshiplegal@airship.com with detailed information about the alleged infringement. Airship will investigate and take appropriate action in accordance with applicable law.
9. CONTEST AND PROMOTIONAL TERMS
9.1 Contest Applicability. If the Event includes any contests, sweepstakes, giveaways, or other promotional activities (collectively, “Contests”), such Contests will be governed by separate official rules that will be made available before the Contest begins. Participation in any Contest is voluntary and subject to the specific Contest rules. No purchase or paid registration is necessary to enter or win any Contest.
9.2 Contest Terms Integration. In the event of any conflict between these Terms and specific Contest rules, the Contest rules will govern with respect to the particular Contest. All Contest participants must comply with both these Terms and the applicable Contest rules.
9.3 Eligibility Restrictions. Contest eligibility may be subject to additional restrictions, including geographic limitations, age requirements, and employment restrictions. Airship employees, contractors, and their immediate family members may be excluded from Contest participation.
10. VIRTUAL AND HYBRID EVENT PROVISIONS
10.1 Virtual Event Access. For virtual or hybrid Events, you will receive access credentials and technical requirements prior to the Event. You are responsible for ensuring you have the necessary technology, internet connection, and technical capabilities to participate in virtual Event components.
10.2 Virtual Event Conduct. All conduct requirements in Section 2 apply equally to virtual Event participation. Additionally, for virtual Events, you agree to: (a) not share access credentials with others; (b) not record virtual sessions except as expressly permitted; (c) use appropriate backgrounds and attire during video interactions; and (d) comply with any additional virtual Event guidelines provided by Airship.
10.3 Technical Support. Airship will provide reasonable technical support for virtual Event access, but does not guarantee uninterrupted service or compatibility with all devices and systems. You acknowledge that virtual Events may be subject to technical difficulties beyond Airship’s control.
10.4 Hybrid Event Coordination. For hybrid Events with both in-person and virtual components, different terms may apply to different participation methods. Virtual participants may have limited access to certain Event features, networking opportunities, or materials that are available to in-person attendees.
11. MISCELLANEOUS PROVISIONS
11.1 Governing Law and Jurisdiction. These Terms and any disputes arising hereunder shall be governed by and construed in accordance with the laws of the State of California, without regard to conflict of law principles. Any legal action or proceeding arising under these Terms shall be brought exclusively in the federal or state courts located in San Francisco County, California, and you hereby consent to personal jurisdiction and venue therein.
11.2 Dispute Resolution. Any dispute, claim, or controversy arising out of or relating to these Terms or the Event shall first be addressed through good faith negotiations.
11.3 Entire Agreement. These Terms, together with Airship’s Privacy Statement and any Event-specific terms, constitute the entire agreement between you and Airship regarding the Event and supersede all prior or contemporaneous communications, whether written or oral.
11.4 Severability. If any provision of these Terms is held to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect. Any invalid provision shall be interpreted to give effect to the intent of the original provision to the maximum extent possible.
11.5 Amendment. Airship may modify these Terms at any time by posting updated Terms on the Event registration page or website. Continued participation in the Event after such modifications constitutes acceptance of the updated Terms. Material changes will be communicated to registered attendees via email at least seven (7) days in advance when possible.
11.6 Assignment. You may not assign or transfer your rights or obligations under these Terms without Airship’s prior written consent. Airship may assign these Terms without restriction, including in connection with a merger, acquisition, or sale of assets.
11.7 Waiver. No waiver of any provision of these Terms shall be deemed or shall constitute a waiver of any other provision. Any waiver must be in writing and signed by the Party against whom the waiver is sought to be enforced.
11.8 Survival. The following sections shall survive termination or expiration of these Terms: Sections 4 (Event Photography and Recording), 5 (Data Privacy and Information Sharing), 7 (Liability Limitations and Disclaimers), 8 (Intellectual Property Protections), and 11 (Miscellaneous Provisions).
11.9 Language. These Terms are drafted in English. If these Terms are translated into any other language, the English version shall control in the event of any conflict or inconsistency.

12. DEFINITIONS
“Airship” means Airship Group, Inc. and its affiliates, including Apptimize, LLC., Urban Airship UK Ltd., Urban Airship Germany GmbH, Airship France SAS, Airship Business France SAS, Urban Airship India Private Ltd., and Airship Global Pte. Ltd. “Airship,” “we,” “us,” and “our” refer to Airship.
“Attendee Content” means any content, materials, feedback, suggestions, or other information submitted, posted, or provided by you in connection with the Event.
“Contest” means any contest, sweepstakes, giveaway, raffle, or other promotional activity conducted in connection with the Event.
“Corporate Data Retention Policy” means Airship’s internal policy governing the retention and deletion of personal information, as referenced in our Privacy Statement.
“Event” means any conference, meeting, webinar, workshop, networking event, or other gathering hosted, sponsored, or organized by Airship, whether conducted in-person, virtually, or in a hybrid format.
“Event Sponsors” means third-party companies or organizations that sponsor, exhibit at, or otherwise participate in the Event as commercial partners.
“Force Majeure Event” means any cause beyond a Party’s reasonable control, including acts of God, natural disasters, epidemics, pandemics, labor disputes, governmental actions, terrorism, war, or other unforeseeable circumstances.
“Event Partners” means third-party companies or organizations that collaborate with Airship in connection with Events, including but not limited to co-hosts, joint venture partners, technology providers, mobile app developers, venue providers, catering companies, and other service providers, but excluding Event Sponsors.
“Party” means Airship or You, as applicable, and “Parties” means Airship and You collectively.
“Personal Information” means information that personally identifies (e.g. your name, email address, device information, IP Address) an individual or other data that relates to or could be reasonably linked to such information.
“Terms” means these Event Terms & Conditions, as may be amended from time to time.
“Virtual Event” means an Event conducted entirely through digital platforms, without in-person attendance.“You” or “Your” means the individual registering for or attending the Event, and if applicable, the organization on whose behalf such individual is acting.
